REGISTRATION TROUBLESHOOTING GUIDE 

 

There are a multitude of reasons why a student may not be able to register. We must do our due diligence when attempting to troubleshoot the issue. Please consider the following: 

RULE 1Identify the specific error message they are receiving! This helps us narrow down the cause of the error. Banner is good at notifying the user why they are getting the error they are getting – we just are not always good at paying attention! Always have students identify the specific error message (get them to provide a screenshot if they are able). 

RULE 2: Explore all possibilities and conduct the proper research: 

  1. Is it their time to register? (Priority registration vs. Continuing Students vs. Open Enrollment) 

  1. Do they have a registration PIN? 

  1. PINs are placed on students that are either new admits or returning students (they have broken enrollment) to prevent them from registering until Open Enrollment 

  1. Do they have a valid Student Type? 

  1. Student Types of “Y” or “Z” are not valid and will prevent registration – these must be corrected by A.R.E. 

  1. Do they have an active registration hold on SOAHOLD? 

  1. Pay attention to the “To” and “From” dates on SOAHOLD; often the “PR” hold doesn’t take effect until some point in the future; also note that a “TP” hold does not restrict registration! 

  1. Are they missing a pre-req or co-req? 

  1. Does their Academic Standing prohibit registration? 

 

The following examples should aid you in your troubleshooting: 

Priority Registration Eligibility 

Is the student eligible for Priority registration? If so, on SGASTDN in the Field of Study Summary the Department field should read Priority Registration Eligible. See example below.

If the field does not appear on the student record but the student believes they should be eligible, please email the registrar inbox to ask that ARE follow up and update the student record if necessary. Please include in the email (not the subject line) the student’s name, ID number, and brief description of the situation. 

 

Student Type 

Check the student type field on SGASTDN. The student type is found in the general learner block on SGASTDN (see example on the following page). Current students should have a “C for Continuing. If there is a Y or Z in the field, please contact ARE to have them evaluate and apply a valid student type. 

 

Registration PIN for New and Returning Students 

During open registration, if a student receives a message that a pin is needed for them to register, check SPAAPIN to see if a pin is active. On page 1 enter the registration term and student ID number, then hit GO. 

 

If a pin is active then 111111 will appear in the Alternate PIN field on page 2  

 

If the student feels that they should not have had a PIN placed on their record (to signify a new student or returning student), please email the registrar inbox to ask that ARE follow up and update the student record if necessary. Please include in the email(not the subject line) the student’s name, ID number, and brief description of the situation. 

Registration Holds 

Certain holds will prohibit registration. For example, an active Financial Hold such as the one pictured below will prevent a student from registering for classes.

Third Party holds will not prevent registration. Additionally, a Provisional Admit hold with a future effective date will also not prevent registration. Please see the example below and note the “From” date on the PR hold has not yet occurred. That means up until that date the hold is not effective and will not affect the student’s ability to register.

Please do not remove any holds that belong to either the Business Office or Academic Records (FI, TP, AD, RE, PR, etc.) from the student record. If the student feels the hold has been placed in error, reach out to the department which placed the hold so that they may investigate and resolve the issue.  

 

 

 

 

Academic Standing 

A student’s academic standing can affect their ability to register for courses. If a student is on Academic Suspension they will not be able to register at all. A student on Academic Probation can register for courses, but are limited to 12 or fewer credit hours. A student’s academic standing can be found on the Academic and Graduation Status, Dual Degree tab of the SGASTDN screen. The maximum number of hours a student is able to register for is found on the registration tab of SFAREGS in the top right of the screen:

Please do not alter a student’s academic standing. Students on Academic Suspension who have sat out the requisite number of semesters (or are requesting an exception to policy) may complete an Academic Suspension Appeal. If approved, the student will be placed on Academic Probation and limited to 12 or fewer hours for registration. 

Missing Co-Req/Pre-Req 

The prerequisite and/or placement scores missing error pictured below is a common error and there are several places that can be checked to see if student has met the requirement or not.

Prerequisites for a course are listed within the course description in the NWFSC catalog:

A student’s academic history can be verified in several places. One such screen is the Term GPA and Course Detail tab of SHATERM. Click on the tab and then use the arrows in the TERM GPA to tab between semesters and course history.

Other sources of academic history are Degree Works for current, active degree-seeking students and the unofficial transcript in RaiderNet for Non-Degree Seeking students. If it is determined the student has completed the prerequisite course, an advisor may enter the appropriate override on SFASRPO to allow registration. Please place a note in SPACMNT that includes the specific documentation verified to support the override approval.
